Refund & Cancellation

Clear timelines, conditions, and process

This policy explains how cancellations and refunds are handled for XyroMax programs and related digital services, in a practical and transparent way.

Scope

This policy applies to purchases and bookings made with XyroMax for educational programs, workshops, coaching-style sessions, and related digital materials (collectively, the “Services”) offered to customers in Japan (JP) and other locations where applicable.

This policy is part of our Terms of Service. If there is a conflict, the Terms may control to the extent allowed by law.

Definitions

  • “Booking” means reserving a place in a scheduled session or cohort.
  • “Start date” means the date the scheduled program/session begins (Japan local time unless stated otherwise).
  • “Digital materials” includes downloadable files, recordings, templates, or access to a members area.
  • “Processing fee” (if applicable) refers to non-refundable third-party fees charged by payment processors.

Cancellation timelines

We aim to handle cancellations fairly. Refund eligibility depends on the time of cancellation relative to the start date and whether digital access has been used.

When you cancel Typical outcome
14+ days before start date Refund of amounts paid, excluding non-refundable third-party processing fees (if any), or a reschedule option if you prefer.
7–13 days before start date Partial refund or reschedule credit. The exact amount depends on preparation already performed and any reserved resources.
0–6 days before start date Usually reschedule credit only (no cash refund), because facilitator time and materials are typically allocated.
After start date Typically no refund. We may offer a partial credit at our discretion where feasible, depending on attendance and delivered services.

No outcome promises

The Services are educational. Refund rules do not depend on results or outcomes; they depend on timing, delivery status, and reasonable operational costs.

Digital services & materials

If your purchase includes access to digital materials, the following additional rules may apply:

  • If digital materials are delivered immediately and you access or download them, refunds may be limited or unavailable where permitted by law.
  • If access has not been provided yet, cancellation rules above generally apply.
  • If you encounter technical issues accessing materials, contact us promptly so we can attempt to resolve them.

Where mandatory consumer protection laws apply, we will comply with those requirements.

Exceptions and special situations

  • Company cancellation: If we cancel a scheduled session, you may choose a full refund or reschedule.
  • Force majeure: Events outside reasonable control (e.g., severe disruptions) may require rescheduling; refunds may be handled case-by-case.
  • Chargebacks: If you file a chargeback without contacting us first, it may delay resolution and may restrict future bookings.
  • Policy abuse: Requests involving false claims or misuse may be denied.

Refund process

  1. Submit a written request via the Contact page with the subject “Refund request”.
  2. Include: purchaser name, email used at checkout (if different), program name/date, and a short reason .
  3. We may request additional details to confirm the booking and prevent fraud.
  4. We will confirm eligibility and the amount (if any) based on this policy and applicable law.

Payment methods and timing

Approved refunds are typically returned to the original payment method when possible. Timing depends on payment processor and bank procedures.

  • Third-party processing fees may be non-refundable.
  • Currency conversion or bank fees may be outside our control.
  • If the original method is unavailable, we may discuss alternatives.

We do not provide cash refunds in person. All refunds are handled through documented channels.

Disputes

If you believe we made an error, contact us first and we will review. If we cannot resolve informally, disputes will be handled under the governing law described in our Terms, subject to mandatory consumer protections.
